Attendance management is keeping a record of employees in and out. Attendance management is one of key function of HR department & HR is fully responsible to keep record of organization employees work in time and take off time. Companies uses several types of methods to record employees, such as

  • In and out signing records book
  • Punching cards
  • Online software’s

Importance of Attendance AMS

Every organization must have AMS, which should comply with the Fair Labor Standards Act timekeeping requirements. Having proper AMS give lots of information to organization as well as will help to improve work environment, productivity & profitability too. (People Hum, 2022)

Calculate the Wages: AMS support to calculate the days your employees report to work with the time they work. If organization pay salary based on the hours AMS is more important to get calculate the number of hours work (People Hum, 2022).

Calculate the Overtime: AMS help to calculate the overtime employees work & this helps to prepare the wages accurately. Also, this can use to analyses the employee efficiency & the workload that they do. If an employee work too many overtime hours, management can monitor this & revisit of his duties & see why the person work too many extra hours. This may help management to get decisions, whether to add more head to job duties or if they can see as employee efficiency issue can arrange training on person, discuss with him how to improve & balance the workload or take actions to employee if the person still not work with better efficiency (People Hum, 2022).

Can Monitor Employee Punctuality: AMS help to monitor how punctual him/her at work. The time he/she report to work & the time he left the organization. This also help to take decisions to improve company productivity & profitability (People Hum, 2022).

Can Monitor Employee Day Leaves/Short Leaves: AMS helps to monitor day off employee has take & also the short leaves they he has taken per month/year. In Sri Lanka private sector it allows 21days leave annually as Annual & Casual leaves with average two short leaves per month. AMS helps to monitor this accurately & these data can use when it calculates annual bonus schemes, can use when does yearend appraisals and for increments.

Employee Can Check his/her Work Attendance Times & Leaves: AMS help employees to monitor his/her punctuality and the leaves what he/she has at any given time.

Most of HR & Payroll software solutions come with equipped with attendance management capabilities. Some of comes with clubbed leave management systems to, which help organization to prepare employee wages without go thru on several documents/systems.

There is various type of AMS,

Biometric Attendance Software: Biometric attendance systems always verify identity of employee. This will avoid employees to cheat on company & mark their attendance by friendly employee. Employee must be presence in person & this helps to improve productivity of the organization. Such systems are very cost effective & accurate (People Hum, 2022).

Breaktime Tracking Software: There are organizations that monitor the durations that employee takes. In such system, employee can go out & come in by punching the machines/cards any time & the duration between out and in consider as employee stay away from the work. In this system first punch take as entering time to organization & last punch time taken as off the work premises (People Hum, 2022).

Online Attendance Management Software: This is system that offers web logins facility. Such software used with cloud facility, that HR can see the login & logout time of employee for work thru internet facility. This system is more effective for the large workforce organizations such has more outside customer base that employees need to visit & can manage customers remotely (People Hum, 2022).

As above discuss it is more effective & efficient to have proper Attendance Management System for every organization, which gives benefit to employees as well as to organization to improve efficiency & productivity as well as employee can monitor their own details. But it is must that organization understand what kind of AMS suitable for organization internal policies implement.

  2. Inaccurate records of attendance can lead to lot of money in overtime payments. It may also violate labor laws which require an employee to work a certain number of hours a week. Attendance management helps with these issues. All the best.
